Our Welfare Management System

The platform was fully launched in April 2025 and operates as a legitimate, secure solution for welfare groups. It enjoys full adoption by organizations like Kitui-Mwingi Parkside Motel LTD and many others. The primary purpose of our system is to help welfare groups enable their members to accumulate savings, create a source of funds from which members can borrow at fair and reasonable interest rates, and stand with members during hard times when they lose a member of their nuclear or extended families — all while adhering to each group's outlined procedures.

New Member Registration Module

Our system allows groups to set their own membership rules. For example, a group can configure that membership is open to all employees of a specific organization. Members can register conveniently through the online portal or by downloading and filling out a form. The system lets you set a registration fee — currently configurable as KSh 3,500.00 per group's settings.

Continuing Membership After Employment

Our platform supports flexible membership rules. A group can configure that a member may continue in the welfare even after ceasing employment, provided conditions set by the group are met — such as:

  1. Deposit slips of contributions are uploaded to the system or sent to the group's email address (configurable per group).
  2. The member attends AGMs and at least one meeting per year (tracked by the system).
  3. The member provides at least three (3) guarantors who are active members when applying for a loan (managed through the platform).

Meeting Quorum & Governance Tools

Our system includes governance features that help groups enforce their meeting regulations, such as:

  1. Tracking attendance to ensure two-thirds of members are present for a meeting to proceed.
  2. Recording AGM attendance — failure to attend without apology can trigger an automatic fine (e.g., Ksh 100, configurable).
  3. Sending automated AGM communications to all members.
  4. Managing elections during AGM with digital records.
  5. Facilitating no-confidence votes — requiring two-thirds (2/3) of members to dissolve the secretariat.
  6. Enabling special meetings for constitution amendments.

Membership Withdrawal Automation

Our platform automates the withdrawal process. A member who wishes to pull out of the welfare submits a one-month notice in writing through the system. Their savings are automatically calculated and redeemed, less any outstanding loans, interest, penalties, and ledger fees. The system checks that the member is not a guarantor for anyone else. Once approved, savings are refunded within one month as configured by the group.
